Job Summary
Conference Services provides comprehensive management services, from pre-conference planning and financial management to marketing, logistics, and registration coordination.
The Conference Services Graduate Assistant Manager's primary responsibility is managing all student staff for evening and weekend events. Additionally, they are responsible for providing support services and supervision to ensure that the Alumni Center's evening and weekend events are successful.
Duties and Responsibilities:
1. Support with hiring, scheduling, and training of student staff.
2. Learning event scheduling software to input events.
3. Collecting information needed to generate and send contracts to clients.
4. Checking setups in rooms to make sure they have been set per the client's specifications.
5. Meeting with clients/caterers onsite before and during the event to make sure everything is running smoothly.
6. Troubleshooting any A/V issues or other problems that may arise during the event.
7. Following up post-event by invoicing and addressing any concerns or issues that may have arisen.

Required Qualifications
1. Eligible for appointment as per the requirements in the Graduate Assistant Handbook, which can be found at http://hr.illinoisstate.edu/downloads/GA_Handbook.pdf
2. Must be a degree-seeking graduate student at Illinois State University in Business, Public Health, or Kinesiology and Recreation.
maintain a cumulative GPA of at least 2.75 (allowances or exceptions MAY be made for students actively working on raising their GPA and who have in place a plan to improve their grades).
3. Strong public relations and customer services skills with enthusiasm and ability to work as a team player and place clients as a top priority.
4. Ability to communicate effectively with the public/staff and provide high-quality customer service.
5. Must be mature, dependable, able to function calmly under pressure, and have the ability to make sound and independent decisions.
6. Extensive knowledge of the university and surrounding area.
7. This position requires multi-tasking abilities, excellent time management, problem-solving and quick-thinking skills.
8. Prior use and knowledge of personal computers.
9. Ability to work independently and take initiative.
10. Professional attitude and appearance.
11. Summer and/or holiday availability is required (other than recognized University holidays and closures).
12. Weekend and evening hours are normal.

Ability to move furniture, lift heavy objects up to 60 lbs. occasionally, objects up to 25 lbs. repeatedly, bend/kneel/stoop as needed, and ability to spend many hours on your feet

This 12-month appointment will consist of a 2-month summer hourly student position and a 10-month GA appointment from August to May.
